Code of Conduct

Last Updated: May 11, 2025

1 Purpose & Scope

Alephic’s reputation rests on two pillars: technical excellence and unwavering ethics. This Code defines the behaviors that safeguard both. It applies to all teammates, contractors, advisors, and vendors whenever they act on Alephic’s behalf or access our information and systems.

2 Conduct Principles

  1. Respect – We recognize the inherent dignity of every person and welcome diverse viewpoints.
  2. Integrity – We do the right thing—especially when no one is watching.
  3. Inclusion – We cultivate an environment where everyone can contribute fully and fearlessly.
  4. Excellence – We pursue the highest standards in our craft, products, and relationships.
  5. Ownership – We own outcomes, admit mistakes quickly, and learn continuously.
  6. Don’t Be Full of Shit – We cut through hype with grounded, honest solutions.

3 Respect in the Workplace

  • Discrimination, harassment, bullying, or victimization of any kind are prohibited.
  • Harassment includes verbal, visual, or physical conduct that denigrates or shows hostility toward an individual because of race, color, religion, sex, gender identity, sexual orientation, national origin, age, disability, or any other legally protected characteristic.
  • Retaliation against anyone who raises a concern in good faith is grounds for disciplinary action.

4 Reporting & Non‑Retaliation

If you see or experience misconduct, speak up:

  • Your manager or any leadership team member
  • Email security email (can be sent anonymously)

We acknowledge every report within 2 business days and provide an investigation update within 30 days. Retaliation is strictly forbidden.

5 Safe Workplace — Remote & In‑Person

Alephic is a remote‑first company. We maintain a violence‑free environment in all company spaces—Slack, video calls, docs, and in‑person gatherings. Threats, intimidation, doxxing, stalking, or acts of violence are not tolerated.

In situations involving potential physical harm, contact local authorities first, then promptly notify a leadership‑team member.

5.1 Guests & Events

When organizing co-working sessions, client meetings, or off-sites, hosts must:

Invitation — Ensure guests are specifically invited and briefed on this Code.

Supervision — Accompany guests at all times.

Confidentiality — Protect sensitive information — close screens, mute private calls.

Venue Rules — Follow site safety rules and local regulations.

6 Equal Opportunity

Alephic is an equal‑opportunity employer. Employment decisions are made without regard to any protected characteristic.

7 Professionalism & Job Duties

Perform your role with honesty, diligence, and respect toward customers, partners, and the wider community. Managers must not abuse authority and are expected to foster mentorship and growth.

8 Communication & Collaboration

Be clear, responsive, and constructive in all channels. Feedback is given candidly and received graciously. Disruptive behavior that hinders others’ work is unacceptable.

9 Use of Company Assets

Use company‑provided equipment, accounts, code, data, trademarks, and copyrighted material in line with the Acceptable Use Policy.

10 Benefits

Use employment benefits responsibly and in compliance with their stated terms. Contact People Operations with questions.

11 Compliance with Law

Obey all laws and regulations governing our business, including but not limited to data protection, export controls, anti‑bribery, environmental, and fair‑dealing regulations. When in doubt, seek guidance.

12 Conflicts of Interest

Avoid situations where personal interests could conflict with Alephic’s interests.

Red‑flags include:

  • Significant personal investments in competitors or suppliers
  • Outside employment or advisory roles overlapping Alephic work
  • Board seats at competing organizations
  • Gifts or hospitality valued over US $250

Disclose potential conflicts promptly to your manager or People Operations.

13 Internet & Social Media

  • Do not share non‑public information, IP, or client details online.
  • When speaking about Alephic, be factual, respectful, and avoid giving the impression you speak for the company unless authorized.
  • Never post discriminatory, harassing, or illegal content.

14 Responsible AI & Data Use

All use of AI systems must comply with Alephic’s Responsible AI Policy and Data Classification Policy. Do not feed client‑confidential data into external tools without a signed DPA and VP approval.

15 Exceptions

Unique circumstances, local laws, or business needs may warrant deviation from this Code. The Policy Owner or the Leadership Team must approve any exception in writing and document the rationale.

16 Enforcement

Violations may lead to disciplinary action up to termination. Alephic may refer unlawful conduct to the relevant authorities and will cooperate fully with investigations.

Anyone asked to perform an act believed to violate this Code should refuse and report the request immediately.

17 Responsibility, Review & Audit

This Code is reviewed annually or following significant organizational or regulatory changes. Updates are communicated company‑wide.

18 Acknowledgement & Training

All personnel must complete annual Code of Conduct training and digitally acknowledge this policy within 14 days of issuance.

Thank you for helping safeguard Alephic’s culture of respect, integrity, and excellence.
